Position Summary

Responsible for providing complex multifunctional business, administrative, and departmental support to the Library Director, Library Administrators, administrative office staff and staff of four Library facilities. Provides direct coordination of office services, supervising office staff, records maintenance, and office efficiency. Also, responsible for providing on-the-job training to all levels of support staff as needed.

Essential Job Functions

  1. Lead or oversee day-to-day multifunctional business and administrative functions, including banking/cash handling procedures. Coordinate work flow and supervise support staff.
  2. Respond to complex customer inquiries through answering telephone calls, e-mails, or face-to-face communication and direct calls and inquiries to appropriate personnel.
  3. Review subordinate work performance for quality. Advise, counsel, and instruct employees on identifying training needs.
  4. Create, prepare and maintain office files, including filing and updating personnel folders.
  5. Prepare reports and oversee projects/research. Evaluate results and compose executive summaries for management staff.
  6. Oversee analysis of department accounting and budget records, including the preparation, collection, research and analysis of data/statistics.
  7. Implement plans and schedules to determine appropriate focus on objectives needing emphasis.
  8. Troubleshoot and resolve departmental issues to ensure support services meet goals.

 

Preferred Knowledge - Abilities & Skills

Education/ Experience:     

  • Associate’s degree in Accounting, Business, Finance or related field
  • 6-8 years administrative experience
  • 2 or more years supervisory experience

Licenses & Certifications

Valid Class C Texas driver's license

Physical Tasks & Working Conditions

The incumbent works in a typical library environment but some physical labor is required. Occasional travel between city and library facilities may occur. Primary environment will be in a climate controlled, indoor atmosphere with some exposure to dust and occasional unpleasant conditions. Physical tasks will include lifting file boxes or equipment up to 35 pounds, squatting, bending, stooping, walking and carrying supplies or files, as needed, to accomplish the tasks of the activity on a daily basis. Must also be able to utilize keyboard and peripherals, handheld mobile devices, and multi-function office phones. Must have the ability to sit or stand for long periods of time.
