  • Position Summary

    Responsible for serving as administrative lead in the daily coordination of: multifunctional business and administrative departmental support, administrative functions and responsibilities as established through departmental needs. Also responsible, for providing on-the-job training to all levels of support staff as needed.


    Essential Job Functions

    1. Function as office supervisor responding to internal/external inquiries through answering telephone calls, e-mails or face-to-face communication and direct calls and inquiries to appropriate personnel including medical providers, vendors, workers comp provider and various City departments.
    2. Coordinate and perform multifunctional business and administrative functions for the CityCare Clinic.
    3. Oversee the scheduling of shifts and leave for administrative and medical staff in order to provide ample coverage.
    4. Send, receive, scan and distribute documents, including faxes and correspondence to appropriate department personnel and medical providers or vendors.
    5. Serve as in-house support for medical records software.
    6. Coordinate all financial activities including bids, purchasing, invoice payment, expense reporting, and budget preparation and monitoring
    7. Prepare, collect, research, and analyze data/statistics for monthly reports for management.
    8. Implement plans and schedules to determine appropriate focus on objectives needing emphasis.
    9. Troubleshoot and resolve departmental issues to ensure support services meet goals.
    10. Act as liaison between City of Garland and Workers Comp Vendor.
    11. May provide on-the-job training to staff as required.
    12. May administer Drug Screen testing, as needed, according to DOT policy and procedure.
    13. May provide direct patient care consistent with medical assistant experience.

    Preferred Knowledge - Abilities & Skills

    Education/ Experience:     

    • Associate’s degree in Accounting, Business, Finance or related field
    • 6-8 years of experience in bookkeeping, accounting, finance, customer service and/or administrative support
    • 3 years of MA or medical office experience in a family or primary care setting

    Knowledge, Skills & Abilities:

    • Intermediate knowledge of business practices and procedures

    • Excellent customer service and telephone etiquette skills
    • Excellent organizational skills
    • Excellent oral and written communications skills
    • Ability to multitask and meet set deadlines
    • Ability to adapt to various working environments
    • Ability to work independently and/or in a team environment

    Licenses & Certifications

     Valid Class C Texas driver's license

    Physical Tasks & Working Conditions

    The incumbent works in a typical office environment; relatively free from unpleasant environmental conditions or hazards.

    Minimum Education & Work Experience

     High School Diploma or General Equivalency Diploma (G.E.D.)
     6 years related experience
    Or an equivalent combination of education and experience sufficient to successfully perform the essential functions of the job.
