Position Summary

Responsible for the preparation, processing, maintenance, and verification of disbursements for the library’s accounts payable operations. Also responsible for daily support of the administrative department, administrative functions, and responsibilities as established through departmental needs

 

Target Hiring Range: $16.50/hr - $18.50/hr

Essential Job Functions

  1. Assist with analyzing and maintaining department accounting and budget records. Maintain data to generate reports, presentations, and assist with research and projects.
  2. Copy, code, and route all procurement card expenditures assigned to the department, as well as, reconcile monthly procurement card statements for staff approval.
  3. Perform data entry, reconciliation, and verification of payment/invoice authorizations, as needed.
  4. Process and maintain department records including invoices, expenses and supply orders.
  5. Provide day-to-day, multifunctional business and administrative support.
  6. Respond to general inquiries through answering telephone calls, e-mails, or face-to-face communication. Direct calls and inquiries to appropriate personnel.
  7. May create, prepare, and maintain office files. File and update personnel folders.
  8. Send, receive, and distribute documents, including correspondence to appropriate department personnel.
  9. Perform backup functions in the absence of the Department Coordinator II, including support to the Director
  10. May interact with vendors and City employees regarding various issues.

Minimum Education & Work Experience

 High School Diploma or GED
 3 years’ related experience
Or an equivalent combination of education and experience sufficient to successfully perform the essential functions of the job.

Preferred Knowledge - Abilities & Skills

Education/ Experience:     

  • Some college courses completed or training beyond the high school level
  • 3-5 years’ experience in bookkeeping, accounting, finance, and/or accounts payable

 

Knowledge, Skills & Abilities:

  • Basic to intermediate knowledge of business practices and procedures
  • Intermediate skills in PC and systems applications, especially Microsoft Excel
  • Excellent customer service and telephone etiquette skills
  • Proficient organizational skills
  • Proficient oral and written communications skills
  • Ability to multitask
  • Ability to adapt to various working environments
  • Ability to work independently with little to no supervision and/or in a team environment

 

Licenses & Certifications

 Valid Class C Texas driver's license

Physical Tasks & Working Conditions

The incumbent works in a typical office environment but performs some physical labor with exposure to dust and occasional travel to various sites. Physical tasks will include lifting file boxes or equipment up to 35 pounds, squatting, bending, stooping, walking and carrying supplies or files, as needed, to accomplish the tasks of the activity on a daily basis. Primary environment will be in a climate controlled, indoor atmosphere. Must have the ability to sit or stand for long periods of time.
