Position Summary

Responsible for overseeing the planning, marketing and coordination of City-sponsored events as well as developing marketing and promotional materials for Parks and Recreation’s facilities, events, and activities.

 

Target Hiring Range: $56,514 / yr to $70,013 / yr

Essential Job Functions

 

  1. Coordinate and facilitate City-wide special events including the development of themes, concepts and marketing objectives for each event.
  2. Oversee and assign tasks for special events including permits, preparation of equipment and facilities and coordination of staff.
  3. Act as liaison with City Management and non-profit groups and businesses in the assistance of planning events.
  4. Coordinate and monitor event timelines and ensure deadlines are met.
  5. Assist with the planning and marketing of community initiated events involving other City departments and related organizations.
  6. Negotiate event contracts and professional service agreements for outsourced services as needed.
  7. Organize relationships with print, television and radio media for effective promotions.
  8. Assist with the design, preparation and distribution of promotional materials for City and department events including design, layout, edit and provide photography and graphics for publications, flyers and brochures.
  9. May run statistical reports and related metrics for events and promotions.
  10. Ensure all event costs stay within the assigned budget
  11. Supervise all full-time and part-time staff assigned to the special event

Minimum Education & Work Experience

 4-year college degree
 3-years related experience
Or an equivalent combination of education and experience sufficient to successfully perform the essential functions of the job.



Preferred Knowledge - Abilities & Skills

Education/ Experience:     

  • Bachelor’s Degree in Business Administration, Event Planning or Management, Recreation, Marketing or similar field of study
  • 3-5 years experience in Recreation, Marketing or Event Planning

Knowledge, Skills & Abilities:

  • Comprehensive knowledge of principles and techniques used in planning, coordinating, and servicing a variety of recreational, industrial, and educational events
  • Comprehensive knowledge of principles and practices in marketing and promoting Citywide programs and events
  • Comprehensive knowledge of governmental regulations for public events
  • Ability to establish and maintain an effective working relationship with all levels of City staff and officials, vendors and citizens
  • Comprehensive knowledge of marketing principles
  • Knowledge of the English language and proper rules of grammar
  • Advanced skills in utilizing Microsoft Office and Social Media Platforms (Word, Excel, PowerPoint, Access)

Licenses & Certifications

 Valid Class C Texas driver's license
 First Aid, CPR and AED certification or the ability to obtain within six months of hire


Physical Tasks & Working Conditions

The incumbent works in a typical office environment. Relatively free from unpleasant environmental conditions or hazards. The incumbent must be able to hear and speak effectively to communicate by telephone and in person. Also, must have visual acuity to read documents and for use of personal computer; on occasion may will be requested to lift up to 25 pounds.
Position includes some nights and weekends.
